Manage multiple calendars in SharePoint

Going through multiple calendars can be confusing and tad difficult.  However, with our offering you could combine different calendars into one calendar and get a single view of all the events.  These different calendars can be color coded.  For example, your personal calendar can be coded with Yellow Color; Sales Force Calendar could be coded with Green Color; Field Engineering calendar could be Grey in color and so on.  You could create one single calendar which highlights all events of these calendars with the colors.  This feature ensures that you don’t have to browse through different calendars to see the events.

Calendars Overlay feature was first introduced in the SharePoint 2010 version. Calendars Overlay is a feature in the Calendar List which offers you the ability to view the data gathered from various lists, such as task lists and Exchange calendars at one single location.

Follow the steps given below to add Calendars Overlay in your Calendar List:

  • 1) In the Calendar List, go to the Calendar tab and click on Calendars Overlay to open the Settings for Calendar Overlay.

  • 2) Click on New Calendar to add a new Calendar.

  • 3) Fill in the columns. Your calendar name, the type of calendar whether it is from SharePoint or Exchange, desired color coding for that particular calendar, the web url for your list, the list type, so on and so forth.

  • 4) Similarly create multiple calendars for your Calendars Overlay. Please note that SharePoint allows a maximum of 10 calendars per view in Calendar Overlay.

  • 5)Once you add all your calendars into the Calendar Overlay, you can view all data from the calendar overlay in a single calendar view.
